I get asked this a lot, and the answer is “It depends”.

Email services can be provided by hosting companies, and I use a hosting company to host your website, and so it naturally follows that you would look to your website designer for help with an email address.

The email address is the easy bit. I recommend Krystal hosting and their hosting service comes with unlimited mailboxes.

The harder bit is the IT set up. This is where I remind clients that I am a website designer and not an IT consultant!

There are 3 main types of email; POP, IMAP and exchange.

POP (Post Office Protocol) dates back to 1984, and it is a system that enabled your email software, e.g. Outlook to connect to your mail server and download email. When an email was downloaded by POP to your computer, it was deleted from the server. Now that we use multiple devices (laptops, phones, tables) to view email, only being able to download an email to one device is unhelpful.

So IMAP (Internet Message Access Protocol) was developed. IMAP allows you to sync email across multiple devices, as messages are saved on the server and downloaded to every new device. However IMAP is not fully secure as usernames and passwords are not encrypted in the login process and so additional security settings are required during set up on your computer/phone.

The 3rd type of email protocol is Microsoft Exchange. The Exchange protocol enables seamless synchronization of emails, contacts, calendars etc across email clients and devices. It’s available through Microsoft 365 as a hosted/cloud service, or it can be configured on local servers if needed. By an IT professional!

Coming back to the original question, I can set up an IMAP email and provide you with the login and server details to set up an email address in multiple devices. You need to be confident in adding email server details on your phone or laptop. If not, you will need the help of an IT company. I can recommend a local IT consultant to help. You will have to pay extra for their services.
